VOLUNTEER AGREEMENT & CODE OF CONDUCT
Introduction
Thank you for choosing to volunteer with Project 33 Gracie Marie CIC. Project 33 is a community-led organisation dedicated to transforming homes and improving lives through the generosity, skills and commitment of volunteers, tradespeople and supporters.
Our projects rely on teamwork, kindness, professionalism and a shared commitment to making a positive difference.
As Project 33 continues to grow, it is important that we have clear expectations, responsibilities and boundaries in place to protect our beneficiaries, volunteers and the organisation.
This agreement outlines what we expect from everyone involved and what volunteers can expect from Project 33.
It is not a contract of employment and does not create an employment relationship.
1. Volunteering and Project Participation
Project 33 is a voluntary organisation and participation is based on the needs of each individual project.
- Volunteering does not guarantee involvement in every project.
- The number of volunteers required will vary depending on the size, nature and requirements of each transformation.
- Volunteers will be selected based on relevant skills, experience, availability and the specific needs of the project.
- Project 33 reserves the right to determine volunteer numbers and allocate responsibilities.
- Volunteers must only undertake tasks they are competent and authorised to carry out.
- Volunteers should inform the relevant coordinator as soon as possible if they are unable to fulfil an agreed commitment.
- Participation in previous projects does not automatically guarantee involvement in future projects.
All decisions regarding volunteer participation will be made in the best interests of the organisation, its recipients and the safe delivery of projects.
2. Respect, Conduct and Professional Boundaries
All volunteers are expected to represent Project 33 positively and behave respectfully towards others.
Volunteers agree to:
- Treat recipients, fellow volunteers, tradespeople, directors and members of the public with dignity and respect.
- Work collaboratively and contribute to a positive, supportive environment.
- Respect individual differences, backgrounds, beliefs and circumstances.
- Avoid bullying, harassment, discrimination, intimidation or aggressive behaviour.
- Raise concerns appropriately rather than engaging in gossip, speculation or personal disputes.
- Respect decisions made by the directors and designated project leads.
- Maintain appropriate professional boundaries with recipients and their families.
- Avoid making promises or commitments on behalf of Project 33 without authorisation.
Volunteers are expected to act with integrity, demonstrate respect for others and conduct themselves in a manner that reflects the values and positive reputation of Project 33.
Any behaviour that compromises the wellbeing of recipients, volunteers or the organisation may result in involvement being reviewed or ended.
3. Confidentiality and Privacy
Through volunteering, individuals may become aware of personal or sensitive information relating to recipients, their families, other volunteers or the organisation.
Volunteers agree to:
- Treat all personal and sensitive information as confidential.
- Respect the privacy, dignity and circumstances of beneficiaries.
- Avoid discussing personal information outside authorised project activities.
- Never share addresses, contact details, personal histories or sensitive circumstances without appropriate authorisation.
- Avoid discussing confidential project matters with individuals who are not directly involved.
- Handle any personal information in accordance with Project 33’s privacy and data protection procedures.
- Report any suspected breach of confidentiality promptly to a director.
Confidentiality responsibilities continue after a volunteer leaves Project 33.
Nothing in this agreement prevents volunteers from raising genuine safeguarding concerns, reporting suspected wrongdoing to an appropriate authority or making disclosures protected by law.
4. Communication and WhatsApp Groups
Project 33 uses WhatsApp to communicate with volunteers and coordinate projects.
To ensure communication remains manageable, professional and respectful:
- The main WhatsApp Community will be used primarily for official announcements, opportunities and project updates.
- Separate WhatsApp groups may be created for individual projects.
- Project-specific groups will be closed when they are no longer required.
- Messages should remain relevant to Project 33 and the purpose of the group.
- Communication should be respectful, constructive and appropriate.
- Messages should be written rather than sent as voice notes, to ensure information can be easily accessed, reviewed and referred to.
- Volunteers should avoid unnecessary messages, repeated questions or unrelated conversations within project groups.
- Personal disagreements or concerns should be raised privately with the appropriate person rather than discussed in group chats.
- Information, screenshots or conversations from Project 33 groups must not be shared outside those groups without appropriate permission.
Project 33 reserves the right to moderate groups and remove individuals where necessary.
5. Photography, Filming and Social Media
Photography, filming and storytelling are important parts of Project 33’s work, helping us celebrate transformations, recognise contributions and raise awareness.
Volunteers should be aware that filming and photography take place regularly throughout our projects, often involving multiple cameras, independent content creators and media teams. Due to the nature of our transformations, it may not always be possible to control who appears incidentally in the background of photographs or video footage.
We fully respect every volunteer's right to choose whether they wish to be photographed or filmed. However, where a volunteer does not wish to appear in any footage, participation in on-site transformation activities may not be suitable, as we cannot guarantee a camera-free environment.
Volunteers agree that:
- Photography and filming must respect the privacy, dignity and wishes of recipients.
- Recipients must not be photographed, filmed or identified without appropriate consent and authorisation.
- Volunteers must not independently publish photographs, videos or personal information relating to recipients without permission from Project 33.
- Content recorded during projects must not disclose confidential or sensitive information.
- Volunteers must not present themselves to media organisations as official representatives or spokespersons for Project 33 without authorisation.
- Volunteers must not use Project 33’s name, branding or project content for personal promotion or commercial purposes without permission.
- Any concerns regarding published content should be raised directly with the directors.
- Volunteers must not alter, recreate or use the Project 33 name, logo, branding, photographs or promotional materials for personal or business purposes without prior approval from Project 33 management. This includes uploading Project 33 branding or images to AI platforms or design software for modification, creating alternative versions of the logo or adding personal or business logos to Project 33 content.
Project 33 may work with independent filmmakers, photographers, content creators and media organisations. Where independent media organisations are involved, editorial decisions and the final presentation of content may sit with those organisations rather than Project 33.
Volunteers should understand that Project 33 cannot guarantee how independently produced material will be edited or presented.
6. Health, Safety and Safeguarding
The health, safety and wellbeing of recipients, volunteers, tradespeople and visitors are fundamental priorities.
All volunteers must:
- Follow Project 33’s health and safety procedures, relevant risk assessments and site instructions.
- Attend any required safety briefings.
- Use appropriate personal protective equipment where necessary.
- Only undertake activities for which they have the necessary skills, training and competence.
- Follow instructions relating to equipment, tools and safe working practices.
- Report accidents, incidents, hazards and near misses promptly.
- Avoid undertaking work that could place themselves or others at unnecessary risk.
- Never carry out specialist or regulated work without the appropriate qualifications, competence and authorisation.
- Raise safeguarding concerns immediately through the organisation’s safeguarding procedures.
- Respect the vulnerability, circumstances and personal boundaries of beneficiaries.
Volunteers must not attend project sites under the influence of alcohol or substances that could impair their judgement or ability to work safely.
Project 33 reserves the right to stop any activity considered unsafe and to remove individuals from site where necessary.
Volunteers must cooperate with the designated Health and Safety Lead and other authorised project leads.
7. Tools, Donations and Project Resources
Project 33 relies on donated materials, equipment, funds and the generosity of businesses and individuals.
All resources must be managed responsibly and transparently.
Volunteers agree to:
- Respect and take reasonable care of tools, equipment and materials.
- Use donated resources only for their intended and authorised purposes.
- Obtain permission before removing any tools, materials or equipment from a project site.
- Never take, retain, sell or redistribute donated goods without authorisation.
- Report damaged, missing or unsafe equipment promptly.
- Avoid making purchases or financial commitments on behalf of Project 33 without prior approval.
- Direct offers of donations, sponsorship or financial support through the appropriate organisational channels.
- Declare any potential conflicts of interest involving suppliers, donations or personal benefit.
All financial decisions, donations and organisational resources remain subject to the oversight of the directors and relevant financial procedures.
8. Leadership Roles and Delegated Responsibilities
As Project 33 develops, certain volunteers may be invited to undertake additional responsibilities or designated lead roles.
These arrangements are intended to support effective project delivery and ensure responsibilities are appropriately shared.
- All designated roles and responsibilities must be agreed with the directors.
- Lead roles are voluntary and are not permanent appointments.
- Existing roles will be reviewed periodically and will not automatically continue or be renewed.
- Roles may be adapted, reassigned or brought to an end according to the organisation’s changing needs.
- Decisions regarding roles will take account of relevant skills, competence, availability, capacity, performance and suitability.
- Individuals accepting a designated role are expected to take responsibility for the agreed duties and carry them out with an appropriate level of independence.
- Role holders should communicate effectively, provide relevant updates and raise concerns or difficulties promptly.
- Volunteers must not make decisions or commitments beyond their agreed responsibilities without appropriate authorisation.
- The directors retain overall responsibility for the governance and management of Project 33, including statutory responsibilities that cannot be delegated.
Holding a lead role does not provide authority over the organisation or guarantee involvement in future projects.
The directors reserve the right to review or change leadership arrangements where necessary to support the effective and sustainable running of Project 33.
9. Raising Concerns and Ending Volunteer Involvement
Project 33 aims to create an environment where volunteers feel respected, supported and able to raise concerns.
Volunteers are encouraged to communicate openly and constructively with the directors.
Where concerns arise:
- Volunteers should raise issues directly and respectfully through appropriate channels.
- Concerns will be considered fairly and sensitively.
- Confidentiality will be maintained as far as reasonably possible.
- Volunteers should avoid discussing disputes publicly or through group messaging platforms.
- Project 33 may review an individual’s involvement where concerns arise regarding conduct, safety, confidentiality, reliability or suitability.
- Where appropriate, concerns may be addressed through discussion, clarification of expectations or other proportionate measures.
- Serious misconduct or behaviour that places others or the organisation at risk may result in immediate removal from a project or termination of volunteer involvement.
Project 33 reserves the right to end a volunteering arrangement where it considers this necessary and appropriate.
Volunteers may also withdraw from the organisation at any time.
Ending volunteer involvement does not remove ongoing obligations relating to confidentiality, data protection or the appropriate use of organisational information and resources.
10. Our Commitment to Volunteers
Project 33 recognises that volunteers generously contribute their time, skills, knowledge and energy without financial reward.
We are committed to:
- Treating volunteers fairly, respectfully and with appreciation.
- Providing clear information about projects and expectations.
- Supporting safe and appropriate volunteering opportunities.
- Recognising the valuable contribution of volunteers and tradespeople.
- Encouraging teamwork and positive working relationships.
- Communicating relevant organisational changes.
- Listening to feedback and concerns.
- Providing appropriate guidance and support for agreed responsibilities.
- Creating an inclusive and welcoming environment.
- Ensuring that decisions are made in the best interests of recipients and the organisation.
We recognise that Project 33 would not be possible without the generosity and commitment of the people who support us.
Our aim is to create a positive, rewarding experience for everyone involved while maintaining the standards necessary to deliver safe, meaningful and sustainable projects.
VOLUNTEER DECLARATION
By agreeing below, I confirm that:
- I have read and understood the Project 33 Volunteer Agreement & Code of Conduct.
- I understand the expectations and responsibilities associated with volunteering.
- I agree to follow the relevant policies, procedures and reasonable instructions of Project 33.
- I understand that participation in individual projects is not guaranteed.
- I understand that any designated responsibilities or leadership roles are subject to review.
- I understand that failure to comply with this agreement may result in my involvement being reviewed or ended.
- I understand that this agreement does not create a contract of employment.
